The Hays-Caldwell Women's Center is in its 46th year of providing critical services and supportto survivors of family violence, dating violence, sexual assault, and child abuse in Hays and Caldwell counties.
The purpose of HCWC is to create an environment where violence and abuse are not tolerated in the communities we serve.
The Center will provide education, violence prevention services, and crisis intervention to victims of family violence, dating violence, sexual assault and child abuse.
We will seek the support and resources necessary to achieve this mission.
Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant to the CEO.
In this role, you will provide comprehensive administrative support to the CEO and contribute to the smooth operation of the Center.
The ideal candidate will have exceptional organizational skills, strong communication abilities, and the ability to handle confidential information with discretion.
Duties:
- Coordinate administrative functions and projects as assigned for the CEO
- Manage storage, retention, and destruction of all agency client files according to approved procedures
- Prepare packets and take minutes at all HCWC Board meetings
- Manage the CEO's calendar, schedule appointments, and coordinate meetings
- Maintain confidentiality of sensitive information and documents
- Perform general clerical duties such as creating donation thank-you letters, communicating with donors, making bank deposits and picking up the mail daily
Qualifications:
- Proven experience as an executive assistant or in a similar role
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong attention to detail and accuracy in all work
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Exceptional written and verbal communication skills
- Ability to multitask and work under pressure in a fast-paced environment
- Strong problem-solving skills and ability to anticipate needs
- Previous experience in office management or administrative support is preferred
