*HAYS-CALDWELL WOMEN'S CENTER * *POSITION: Programs and Services Assistant * *GENERAL DESCRIPTION: *The Programs and Services Assistant is responsible for providing comprehensive support to all HCWC direct services programs.
This is a full- time non-exempt position.
*DUTIES AND RESPONSIBLITIES: * *I.
DIRECT SERVICES ADMINISTRATIVE SUPPORT * A.
Organize and oversee client assistance funds such as Putnam children’s activities funds, rental assistance, legal assistance, etc.
* Track and report to Chief Program Officer and Leadership monthly updates on client assistance funds.
* Serve as contact for Program Directors across all programs regarding client needs.
Coordinate with Development and Operations as needed.
B.
Provide administrative support for Marla’s Place transitional housing program.
* Assist Marla’s Place Program Director to ensure timely collection and tracking MP Resident initial deposit, monthly rent, and monthly utility payments.
Report any deficiencies to Marla’s Place Program Director.
* Prepare work orders for routine maintenance, preventative maintenance, and repairs to facility.
Ensure work orders are processed in a timely manner.
Follow up with Maintenance and Facilities Coordinator and Chief Operating Officer as needed.
* Assist Marla’s Place Program Director in monthly apartment unit inspections.
* Assist Bilingual Advocate in preparing printed client materials, resources, etc.
* Assist Marla’s Place Program Director in ensuring all MP client files and records are accurate and up to date.
* Assist Chief Program Officer and Marla’s Place Program Director with administrative support, program development and coordinating community contacts to implement service programming for MP clients.

COMMUNITY IMPACT * A.
Participate in providing community education and training.
B.
Participate on the Domestic Violence Awareness Month planning committee.
C.
Participate on the Caldwell County Family Violence Task Force Conference Planning Committee to provide a coordinated team response to domestic violence.
*IV.
PROGRAM SUPPORT SERVICES * A.
Attend and participate in agency staff meetings as directed by team leader and/or agency leadership.
B.
Document all services provided in a timely manner using approved procedures.
C.
Perform job duties in accordance with approved agency policies and procedures.
D.
Ensure that all persons are treated in a manner consistent with the agency mission.
E.
Provide on-call services for Center including hospital response, crisis intervention and emergency transportation of clients as necessary to ensure 24-hour availability of quality services.
F.
Work with community members and agencies to develop resources for all clients.
G.
Assist Community Engagement Coordinator in developing and implementing training for volunteers including Advocate Training.
H.
Work on coordinated agency efforts to increase the community’s understanding of interpersonal violence issues.
I.
Participate in the development and implementation of coordinated strategic plans to meet the agency mission.
J.
Attend trainings approved by team leader to maintain proficiency.
K.
Perform other duties as assigned by team leader and/or agency leadership.
*SUPERVISED BY:* Chief Program Officer *QUALIFICATIONS: *Must be self-motivated, self-confident, result oriented and maintain high moral and ethical standards.
Must demonstrate proficiency in Word and Excel and be able to perform advanced administrative duties.
Ability to read, write and converse in English.
Ability to remain calm under stress and have the emotional and physical stamina to deal with a variety of stressful situations.
Ability to multi-task, respond to telephones, written correspondence, and other auditory and visual stimulation.
Must be able to tolerate sitting or standing.
Must be capable of using computers, telephones, cell phones, shredders, and facsimile machines.
Must possess a current Texas driver’s license and have a clean driving record.
