Position Title: Accounting Assistant
Position summary:
Responsible for supporting the CFO in the fiscal management and coordination of the Comal County Crisis Center’s 24/7 grant activities both before and after the award.
Works closely with CFO to establish the highest standards for fiscal management.
Maintains agency financial records and documents as required.
Assists with the monthly and year-end accounting operations.
Essential Functions: Includes the following.
Other duties may be assigned.
As a key member of the CCCC Accounting Team: · Acts in accordance with the agency’s mission statement and goals.
· Commits to cultural awareness and diversity with the ability to appreciate and equally serve all ethnic and diverse individuals and groups.
· Maintains a healthy work environment.
· Supports ongoing organizational transformation and transition to a culture of innovation.
· Preserves agency confidentiality in accordance with the Crisis Center of Comal County confidentiality policy.
Key Responsibilities Area: Duties include, but may not be limited to the following: · Prepare appropriate bank deposits daily and submit to the Accounting Manager for deposit.
· Process and record accounts payable transactions, invoice/voucher numbers, grant information, and descriptions, reconciling invoices and statements for accuracy.
· Maintain recurring log on a weekly basis and submit to Accounting Manager for review to resolve issues by each month end.
· Prepare weekly check run for checks to be printed on Thursday by CFO.
· Maintain vendor information and records.
File PRF/Invoice/backup and check stub in the appropriate vendor file on a weekly basis.
Prepare vendor files at the beginning of each fiscal year.
· Back up for bank reconciliation’s, starting January 2024.
· Prepare the documentation for general ledger journal entries as required monthly and for correcting the general ledger.
Provide to CFO for approval prior to posting.
File documentation in the JE monthly folders, maintained in the Accounting Manager’s office.
· Reconcile payroll, AR and AP accounts on the balance sheet monthly and submit to CFO by the 10th of the following month.
· Assist with annual single audit and all funding source monitoring as requested.
Retrieve documents and produce appropriate reports or reconciliations as required.
General Responsibilities: · Attend and participate in agency functions as required by the CFO or CEO.
· Maintain professional conduct and represent the Agency in a professional manner.
Perform all other duties as assigned by the CFO or CEO.
· Attend all meetings as required, to include weekly meetings.
Come prepared to all meetings.
Qualifications and Experience: · Associate or bachelor’s degree in accounting or at least 3 years of experience in non-profit accounting · Demonstrated proficiency in fund accounting.
· Must perform advanced administrative and accounting duties.
· Familiar with grant processes, particularly related to fiscal management · Proficiency In client management systems and computer software programs (Office 365, Excel, etc.
) · Willingness and ability to serve on call 24/7 to respond to crisis and emergencies when needed.
· Well organized, flexible, and able to manage multiple conflicting priorities.
· Strong verbal and written communication skills Certifications, Licenses, Registrations: · Must possess a current, valid Texas driver’s license and proof of auto liability insurance.
· Must pass Texas Criminal Background Check requirements and Sex Offender Registry check.
